Crown Strategic Solutions LLC (“Crown Strategic Solutions,” “we,” “us,” or “our”) provides AI automation, custom software, network consulting, and managed technology services to small businesses. This Privacy Policy explains what personal information we collect through our website at crownstrategic.com, how we use and share it, how long we keep it, and the choices and rights you have.
This policy applies to visitors to this website and to people who contact us through it. It does not apply to information we process on behalf of our clients through the OfficePilot platform, which is covered by the OfficePilot Privacy Policy.
For the purposes of applicable data protection law, Crown Strategic Solutions LLC is the controller of the personal information described in this policy.
2. Information We Collect
Information you provide to us
When you submit our contact form to request a consultation, demo, automation assessment, or AI readiness review, we collect the information you enter:
- Name (required)
- Email address (required)
- Company name (optional)
- Phone number (optional)
- The type of request you selected (optional)
- Your message — anything you choose to tell us about your business (optional)
You choose what to include. Please do not send us passwords, payment card numbers, government identification numbers, health information, or other sensitive information through this form.
If you email or call us directly using the contact details on this site, we receive whatever information you include in that message or call.
Information collected automatically
- Server logs. Our web server records standard technical information about requests, including your IP address, browser type and user agent, the page you requested, the referring page, and the date and time of the request.
- Anti-abuse records. To limit automated spam, we temporarily record submission timestamps against a one-way hash of your IP address. These records expire after ten minutes and are not used to identify you or to build a profile.
- Anti-spam form field. Our contact form includes a hidden field that is invisible to people and is typically filled in only by automated bots. We use it solely to discard spam submissions.
What we do not collect
This website does not run analytics software, advertising pixels, or cross-site tracking technologies, and we do not set our own cookies for advertising or profiling. We do not knowingly collect sensitive personal information, and we do not sell personal information.
3. How We Use Your Information
We use the information described above to:
- Respond to your inquiry and schedule consultations, demos, and assessments;
- Provide, and follow up about, the services you asked about;
- Communicate with you about your request, including by email or phone;
- Operate, secure, troubleshoot, and improve this website;
- Detect, prevent, and investigate spam, fraud, and abuse; and
- Comply with our legal obligations and maintain records of our business communications.
We do not use the information you submit through this website to send unrelated marketing, and we do not sell it or share it for cross-context behavioral advertising.
4. How We Share Your Information
We do not sell your personal information. We share it only in these circumstances:
- Service providers. We use vendors who process information on our behalf, under contract, and only for the purposes we specify. These currently include our email delivery provider (Twilio SendGrid), which transmits contact form submissions to our business inbox, and our hosting and infrastructure providers.
- Google Fonts. This site loads typefaces from Google Fonts. When your browser requests those files, Google receives your IP address and standard request information. See the Google Privacy Policy.
- OfficePilot chat widget. Our pages include a chat widget served from officepilot.biz, which is our own platform. Information you enter into that widget is handled under the OfficePilot Privacy Policy.
- Legal and safety. We may disclose information when we reasonably believe it is required by law, subpoena, or other legal process, or where necessary to protect the rights, property, or safety of Crown Strategic Solutions LLC, our clients, or the public.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a materially different privacy policy.
5. Cookies and Tracking Technologies
Crown Strategic Solutions does not set its own cookies on this website for analytics, advertising, or profiling. Your browser may store files needed for the site to load and display correctly, such as cached pages and fonts.
The OfficePilot chat widget and Google Fonts are provided by separate services and may use cookies or local browser storage in order to function. We do not use third-party advertising cookies on this website, and we do not participate in cross-site tracking for advertising purposes.
6. Do Not Track
Some browsers offer a “Do Not Track” signal. There is no common industry standard for how to respond to these signals, and this website does not currently respond to them. Because we do not track visitors across third-party websites for advertising, there is no cross-site tracking here to opt out of.
7. Data Retention
We keep personal information only for as long as we need it:
- Contact form submissions and correspondence — retained for as long as needed to respond to you and to maintain records of our business communications, typically up to two (2) years after our last contact, unless you ask us to delete them sooner or a longer period is required by law.
- Client records — where you become a client, retained for the duration of the engagement plus a reasonable period afterward for backup, audit, tax, and legal purposes.
- Web server logs — typically retained for 90 to 365 days.
- Anti-abuse rate-limiting records — expire after ten minutes.
- Backups — retained according to our backup schedule, typically 30 to 90 days.
8. Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information. This website is served over encrypted HTTPS connections, contact form submissions are transmitted to our email provider over an encrypted connection, and access to credentials and business inboxes is restricted to authorized personnel.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information such as passwords or payment details through our contact form or by unencrypted email.
9. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access — ask what personal information we hold about you;
- Correction — ask us to correct inaccurate information;
- Deletion — ask us to delete your information;
- Objection or restriction — object to, or ask us to limit, certain processing;
- Portability — request a copy in a portable format; and
- Opt out — ask us to stop contacting you at any time.

If you are a California resident, you have the right to know what personal information we collect, use, and disclose; to delete personal information; to correct inaccurate personal information; and to opt out of the sale or sharing of personal information. EEA and UK residents (GDPR)
If you are located in the European Economic Area or the United Kingdom, you have rights of access, rectification, erasure, restriction of processing, portability, and objection. We process the information described in this policy on the basis of your consent when you submit our contact form, and on the basis of our legitimate interests in responding to inquiries, securing our website, and preventing abuse. You may withdraw consent at any time, and you have the right to lodge a complaint with your local supervisory authority.
10. Children’s Privacy
This website and our services are directed to businesses, not to children. We do not knowingly collect personal information from children under 16 without parental consent. If you believe a child has provided us with personal information, contact us at support@crownstrategic.com and we will delete it.
11. Third-Party Links and Services
This website links to third-party sites and services that we do not control. This policy does not apply to those sites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.
